Warehouse Operations Associate

Top Box Foods (TBF) is a community-driven nonprofit that creates access to healthy and affordable food.

We offer fresh produce and other healthy groceries, support community partners in hunger and nutrition initiatives, and promote the development of a more sustainable food system.

We are currently seeking the support of a Warehouse Operations Associate to assist with all programmatic distribution efforts and support our mission.

Main Objectives

  • SAFELY facilitate distribution of fresh produce boxes and other healthy groceries to households, community partners,         

and community events

  • RESPONSIBLY operate TBF vehicles and equipment to ensure quality and integrity of all staff, products, and services 
  • POSITIVELY represent organizational values and expectations in both team and community settings at all times

Our programs are designed to build a more equitable and localized food system. TBF’s two main programs are: 

  1. Legacy Program: Our founding program  delivers healthy, affordable food to all. We offer fresh fruits and vegetables, high-quality proteins, and local products that are delivered directly to our customers’ doors and SNAP accessible. With the help of a network of community partners, the Legacy Program creates direct access to healthy and affordable foods for Chicagoans by removing economic and transportation barriers to food access.

  2. Food Share Program: Created in response to the rise in food insecurity throughout the pandemic, our Food Share Program  collaborates with organizations to address hunger and improve health outcomes through food. We offer customizable grocery boxes, tailored programming, and flexible delivery options that make it easy for our partner organizations to help the community access healthy food.

Job Details

Requirements: Valid driver’s license

Compensation

  • $17-18 per hour starting pay based on experience and availability, paid bi-weekly via direct deposit
  • Unlimited 20% employee discount off all TBF groceries

Schedule

  • Flexible scheduling based on employee availability, days available are typically Monday-Saturday
  • 10-30 hours a week part-time scheduling available, with the opportunity to increase hours/days and advance

depending on  availability, job performance, and interest

Daily Responsibilities 

  • Practice flexibility and commitment to the TBF mission and values
  • Maintain positive and effective communications with all TBF team members, community collaborators, customers and 

participants

  • Safely and efficiently prepare and distribute produce and other healthy groceries to households, community partner 

food shares  and other community commitments

  • Maintain quality and integrity of all products through temperature control monitoring and additional safe handling 

practices

  • Effectively utilize cell phone apps to navigate driving routes and communicate delivery information to customers
  • Collect customer payment using hand-held payment machines
  • Actively support Warehouse and Operations Coordinators and colleagues  with daily logistics 
  • Support management of  product inventory levels and organization daily and ensure accuracy of all TBF orders 

distributed 

  • Act as a TBF ambassador while working in the community, maintaining active and up to date knowledge of ongoing 

programs and community resources that increase healthy food access

  • Provide additional operational support as needed; including but not limited to - collecting inventory from vendors, 

preparing product for daily and food share delivery, delivering inventory to partners for non-programmatic contributions and projects, performing equipment maintenance or other routine cleaning and warehouse maintenance  requirements

Desired Skills

  • Personable and community-driven with a strong interest in food justice and community health
  • Organized and detail-oriented 
  • Ability to safely drive and operate delivery vehicles, such as sprinter vans, 16-ft.+ box trucks
  • Strong problem solving and critical thinking skills
  • Strong verbal communication skills
  • Enjoys working in both team and independent settings
  • Experience with Excel, Google Sheets and Slack preferable, but not required; training and professional development

  • Comfortable working in dynamic, customer service-oriented environment with high volume of orders
  • Bilingual or Multilingual skills a plus, but not required 

Relevant Experience

  • Experience with delivery/ distribution, and/or general warehouse tasks
  • Delivery Services (ie. uberEats, DoorDash, UPS, InstaCart)
  • Restaurant / Hospitality Industry (ie. kitchen, barback, front of house)

Community Experience Manager

We are currently seeking the support of a Community Experience Manager to oversee and facilitate our Customer Service line and assist with Top Box Market, one of our core models designed to build a more equitable food system by breaking down access barriers and serving as a sustainable path to food access.

Main Objectives:

  • CUSTOMER SERVICE: Top Box Foods serves a diverse community who appreciate the personal touch of our Customer Service team. You will be responsible for facilitating the Customer Service line, speaking directly with community members as a representative of Top Box Foods to process orders, answer questions, and record feedback to give our community members a positive experience with Top Box Foods.
  • FOOD ACCESS: Our Top Box Market program is a resource to access healthy and affordable groceries for all across Chicagoland. You will be an expert in the Market program, communicating with our customers via the Customer Service line and collaborating with the Top Box Operations team to ensure a smooth and accurate experience for the customer from order to delivery so that it is easy for our community to access affordable foods.
  • POSITIVE RELATIONSHIPS: Top Box Foods has always been about community, and that starts with providing direct support to our customers and program participants. You will be a friendly helper to seniors who can’t get to the grocery store, a patient listener who can troubleshoot and resolve customer issues, and a reliable member of the Top Box team who rely on timeliness and communication to provide the best service for our community.

with community members, take orders, answer questions, and provide exceptional support to all

  • Monitor the Top Box general email account to respond to community member inquiries including the Contact Us form
  • Input customer orders placed over the phone online and process payment
  • Keep detailed records of community member feedback, issues, and frequently asked questions to help TBF learn and 

improve as well as track our customer satisfaction and retention

  • Facilitate communications calls including delivery reminder calls, informational calls, payment processing calls, and 

conduct community surveys for Top Box Market and Top Box Community

  • Actively support the Operations team by communicating updates from customers and community members to the 

appropriate colleague in an organized and timely manner

  • Act as a TBF ambassador, maintaining active and up to date knowledge of Top Box Market as well as ongoing Top Box

Community programs and resources to provide the best support to our community members

  • Provide additional operational support as needed with opportunity to grow and expand role

  • IMPROVE organizational capacity through the management of administrative and operational responsibilities as well as through positive, effective, and timely communications and collaboration with Top Box Foods colleagues
  • REPRESENT Top Box Foods values and expectations in both internal and community settings at all times

Daily Responsibilities: Top Box Market Program Management

Lead Community Partnerships in conjunction with Top Box Market

  • Foster existing and potential partners through timely and friendly communications, expertise in Top Box Market and its offerings and operations, and strategic problem-solving to create new programs
  • Provide partner organizations with exceptional customer service
  • Track qualitative and quantitative programmatic data to support with formal and informal reporting efforts to partner organizations and Top Box colleagues including grant writers and others
  • Coordinate food distribution logistics with Operations team and other key Top Box personnel to confirm scheduling, product availability, operational capacity, and communications with food recipients
  • Support community engagement efforts including representing Top Box at community events, presentations, and other engagement opportunities

Oversee Customer Service team

  • Provide exceptional support to the Community Experience Manager, including clear and timely communications of essential information and problem-solving customer feedback, payment, and service-related issues to ensure a positive experience for all program participants and customers
  • Communicate effectively with Top Box colleagues across teams to ensure timely response to product, delivery, payment, and other issues as needed
  • Manage volunteer community callers in conjunction with Community Experience Manager and Volunteer Coordinator to ensure a positive experience for both volunteers and customers and program participants, while meeting call needs for the Operations team

Support Daily Operations

  • Efficiently and effectively achieve Top Box Market goals internally and in conjunction with community partners and programs
  • Actively support and communicate with Operations, Marketing, and Volunteer teams to achieve efficient daily logistics and order fulfillment, manage accurate Shopify product inventory and pricing,  meet volunteer needs, and ensure that external communications are accurate and consistent across Top Box personnel
  • Be a flexible team player providing additional support as needed, supporting interdepartmental work to ensure that Top Box is providing the best service possible for our community
